Creating Breakout Rooms

There are two ways to create breakout rooms – before and during a meeting.

To set them up before a meeting starts, create a meeting like normal and add everyone who will be attending.

  1. From there, double click the meeting in the calendar to see the meeting details.
  2. At the top of the window, there will be a button that says “Breakout rooms”.
  3. Click it and then click “Create rooms”.
  4. Here, you can choose how many rooms you want and assign attendees into the rooms.

We suggest starting with one round of breakout rooms if you’re doing multiple rounds in one meeting.

To create breakout rooms during a meeting:

  1. Click “Meeting controls”.
  2. From that menu, click “Breakout rooms”.
  3. Here, you can choose how many rooms and assign attendees into the rooms.

 

Breakout Rooms and Recordings

It is possible to record and transcribe meetings inside breakout rooms.

Once in the breakout rooms:

  1. Have someone start the recording and transcript for that specific breakout room.
  2. Once the meeting in the breakout room is done, have all attendees leave the room.
  3. Once the meeting is fully over and everyone has left, the recordings will save to the host’s OneDrive (get to it from your MyApps page) and be available in chats under the names of the breakout rooms.

4. Clicking the video will open in OneDrive automatically.

5. On the right side of the screen, hit the transcript button.

6. From there, you can download the transcript as a .docx (Word document).

  • It will appear in your Downloads folder in File Explorer once the download has completed.
